    SUMMARY:   The Payroll Administrator compiles payroll data from timesheets and other resources for issuing accurate and timely paychecks and tax statements while ensuring compliance with multi-state Department of Labor statutes, courts and child support agencies, taxing authorities, unions, banking institutions, company operating standards and general ledger guidelines.

     

    Strong recall, reasoning, problem solving and logical thinking skills are required while handling multiple priorities in a fast paced environment.  An understanding of system integration between Human Resources, Benefits, General Ledger and Accounts Payable is necessary.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES:  Primary duties and responsibilities include, but are not limited to the following.

    • Clerical duties such as filing, coding, posting and report writing using word processing, spreadsheet and database programs.
    • Checking and auditing timekeeping records for compliance. Balancing and controlling earnings and deduction totals. 
    • Understanding timekeeping and payroll systems with the ability to assist field management for accurate timesheet reporting, delegations and research. Ability to identify issues with systems and reporting for resolution.
    • Computing wage and overtime payments including but not limited to regular rate of pay, tip income, tipped rates, minimum wage, reporting pay, NY 10 hour spread, travel pay, training pay , miscellaneous calculations and payments, retro payments and adjustments for overtime pay inclusive of non-discretionary bonuses. Documents all payroll transactions and adjustments.
    • Calculation of gross-to-net and gross-up payments.
    • Inspecting automated system output such as registers and standard reports, determining and correcting incorrect data or out-of-balance conditions.
    • Printing, sealing, sorting and distribution of payments, including creating and transmitting bank files, requesting stop payments, check replacement, entering direct deposit instructions, requesting direct deposit reversals and assisting with Unclaimed Property.
    • Interpreting, processing and administering involuntary deductions such as garnishments, levies and child support.
    • Researching and interpretation of Federal & State labor laws and keeping up to date with legislation changes for assigned districts and back-up coverage. Analyzing payroll data for state and FLSA compliance.  Coaching all levels of management as needed to ensure compliance.
    • Posting changes in tax status and other miscellaneous payroll system changes.
    • Responding to unemployment wage audit information requests.
    • Working with employees to research and resolve questions and problems. Notifies and assists management in problem resolution as needed.
    • Establishes and maintains positive working relationships with all coworkers, employees and levels of management to provide strong quality service.
    • Assists as needed with year-end processing including W2s. Understanding taxable wages for assisting with W2 questions.
    • Ability to work extended workdays to support business needs.
    • Other duties may be assigned.

    QUALIFICATIONS: Payroll Administrators possess a highly developed sense of customer service and interpersonal skills including high integrity, respect for all individuals (customers, vendors, and employees), solid communication skills, critical and analytical thinking skills, appreciation of diversity (thought, ethnic, gender, etc.) and must be strong team players.

     

    EDUCATION AND/OR EXPERIENCE: High School Diploma or equivalent.  Fundamental Payroll Certification (FPC) preferred but not required.  Relevant experience or equivalent combination of education and experience is also acceptable.  Microsoft Outlook, Excel, AS400 and data entry experience required.
